Competitor Information

Getting to the Competition and Checking In
The Orinda Library Auditorium is located at 26 Orinda Way, Orinda, CA 94563. A map and directions to the theater are posted at http://www.bellydanceroftheyear.net/location.html. There is also information about local accommodations and restaurants. Photos of the venue are posted as well. Enter the auditorium lobby upstairs and volunteers will direct you to check in. There is an elevator if needed. If you are competing on Saturday afternoon, please check in between 11:00am and 12:00pm. If you are competing on Saturday evening, please check in between 4:30pm and 5:30pm. You will be asked to sign a release when you arrive. Also, be prepared to hand in to dressing room staff your music on CD, plus a back-up copy. Please label your CDs and CD covers with your stage name. Flash drives and mp3 players will not be accepted. Please contact us if you have any unusually large props. If you are selected as a Belly Dancer of the Year Finalist, please check in at 6:30pm.

Stage, Lighting, and Prop Instructions
Please submit your instructions via online: http://www.bellydanceroftheyear.net/instructions.html. If you are competing in more than one category, please fill out the form for each category separately. Once you click "submit" you're all set. You will not receive a confirmation email. The deadline for submitting instructions is Monday May 22. No instructions will be accepted after May 21. Dressing room staff will not accept any last minute changes when you check in. No exceptions.

Checking Out the Stage
You will have an opportunity to check out the stage and block your performance before the competition. The stage manager and assistants will facilitate this. It will be first-come, first-served.

Important Details
  • Please be back stage or in the dressing room, in full costume and make up, and ready to perform with three competitors before you. For example, if you are 6th in the line-up, please be ready when the 3rd competitor starts. If you are one of the first few competitors, please be ready 30 minutes before the competition begins. Please don't make us come look for you. ;-)
  • Please be backstage at the end of the competition. We will introduce the competitors before announcing the awards/finalists.
  • Do not appear in the theater, lobby, or restrooms in costume or wrapped in a veil/fabric. You must wear a caftan.
  • Performances must be appropriate for families and children.
  • If you would like to run through your set, please do so outside the dressing rooms, use headphones/earbuds, and use minimal space. The new venue has lots of lovely outdoor space for run-throughs, socializing, meditating, etc.
  • Please be courteous. DO NOT PLAY FINGER CYMBALS ANYWHERE INSIDE THE BUILDING EXCEPT ON STAGE.
  • No smoking or alcohol.

Dressing Rooms
Dressing room space is limited. Please be respectful of each other. Also, there are no make up rooms or lighted make up mirrors. There will be a few portable mirrors in the dressing room, and there is a good sized public restroom with large mirrors and good lighting. You should bring a cosmetic mirror with you for touch ups. We recommend that competitors arrive in full or nearly-full make up. This is a leave no trace event. Please keep your area in the dressing room space clean an organized.

Cancellations
If you need to cancel your spot in the competition, please notify me as soon as possible via email. If you need to cancel the day of the competition, you can reach me at 510-325-9204.

Music, Scores, and Comments
Please pick up your music at the end of the competition. If you do not pick it up, it will not be returned to you after the competition. Your scores will be placed in a white envelop with your stage name and will be available after the finalists or winners are announced. Either Jennifer or a BDOY volunteer will have them in hand. If you do not pick up your scores, they will be emailed to you after the competition. All comments will be emailed within two weeks after the competition. It takes some time to type them up and make sure they are accurate, so your patience is appreciated.

Video of Your Performance
Esther Andrews of Newman Media will film all performances. An order form will be emailed to you about 8 weeks before the competition. You have two options: a DVD for $45.00 or a digital download for $35.00. Videos of the Live Music Finals will be $25 and included with your Preliminaries performance. Please fill out the order form and mail it with your payment directly to Esther, by Tuesday May 23 if possible.

Photos of Your Performance
Michael Baxter is the official 2017 photographer. Michael offers BDOY photos on a donation basis. Rather than pay him for your photos, he asks that you make a donation to an organization of your choice. Some suggestions: BreastCancer.org, The Women's Daytime Drop In Center, and ItGetsBetter.org. There is a space on the instructions form to include information about your donation. I would love to track donations and let Michael know how much he has helped raise!
